  • How do I book a charter?

  • What is the payment policy?

    You must submit a deposit, Signed Acceptance, and Terms by seven days after a booking is made - 25% of the booking amount is due as a deposit. Balance and Final Itineraries must be submitted 21 days before the service date.

  • What is the cancellation policy?

    If cancellation occurs:

    • 22+ days before the service date, a full refund
    • 21-14 days of service date - 25% of the booking
    • 13-4 days of service date - 50% of the booking
    • 72 hours of service date - 100% of the booking
  • What kind of payments do you accept?

    We accept cash, checks (must be paid in full 21 days before departure), money orders, or credit cards (Visa, Master Card, American Express).

  • How much does it cost?

    This varies by request. It depends on the length of the charter, mileage, size of the vehicle, etc. 

  • When is the final payment due?

    The balance (less deposit paid) is due 14 days before the trip’s departure date.

  • Are there minimum group size requirements to book a coach?

    We don’t have a minimum size requirement, but we recommend taking at least 30 people to make the trip affordable.

  • Are driver gratuities included in the price?

    No, the driver’s gratuity is not included in your price unless you ask for it to be included. We can add the gratuity to your confirmation as a line item, or you can give it to the driver directly.

  • What is the driver’s recommended gratuity amount?

    We recommend 10-15%, depending on the service you receive.


    Please consider additional gratuity if the driver is handling your luggage.

  • Do I need to reserve the hotel room for the motorcoach driver?

    Yes, it is customary to reserve and pay for the driver’s room for overnight trips.

  • What size vehicles do you offer?

    We have vehicles that seat 56 passengers.

  • Does Butler Charter and Tours have on-call 24-hour service?

  • What is your procedure for road failures?

    We have on-call dispatchers ready to quickly resolve road failure situations.

  • Can I get a copy of your insurance

    Yes, of course, you can! We can also have your organization named as additional insured while riding in our vehicles.

  • Do I need to reserve the hotel room for the motorcoach driver?

    Yes, it is customary to reserve and pay for the driver’s room for overnight trips.

  • What are the Driver’s Hours of Service (DOHS) rules?

    Final itineraries must be submitted to Butler Charter and Tours Inc. 21 days before the service date. All itineraries must meet FMSCA DHOS rules. (15 hours on duty, 10 hours of drive time, 8 consecutive hours off - please remember all times must include time for pre/post safety checks, fueling, and cleaning.

  • What credentials do your drivers hold?

    All our drivers have CDLs (commercial driver’s licenses) with Air Brake and Passenger endorsements.

  • Can we have food/drinks on the bus?

    Yes, you may bring food and beverages aboard. We ask that you refrain from having any shelled products (peanuts, sunflower seeds, etc.) and no glass bottles or containers.



    Butler Charter and Tours reserves the right to charge a cleaning fee.

  • Are we allowed to have alcohol on the bus?

    Smoking, drugs, and alcohol are prohibited on all coaches. Please make sure any other snacks and beverages are in re-sealable containers.

  • Is there a place to store our luggage? How much luggage can each person bring?

    Each bus has a designated luggage space. Each passenger should have no more than mid-size luggage and a small carry-on. The driver will handle luggage unless it exceeds the weight limit of 35 lbs.

  • Are pets allowed on the bus?

    Service companion animals are allowed on board the bus. Pets are not allowed.

  • Can we bring our movies and music?

    Yes, you can play movies or music of your choice. Butler Charter and Tours does not provide movies or music; please bring your own.

  • Can we leave personal items on the bus?

    You may leave your belongings on board; however, Butler Charter and Tours Inc are not responsible for any loss or theft.
